Job Description The Senior Associate, Administrative Services, provides primary administrative support to the AVP Network Strategy & Third-Party Sales within the Manufacturing Division Company Strategy, Business Development and Alliance Management organization (MSBDA). Additionally, this role also provides support to the ED Manufacturing Business Alliance Mgt (MBAM) and ED, Business Development within MSBDA. This position is located in West Point, PA and there is an expectation to be on site following a hybrid work schedule. This role will be responsible for handling the day-to-day administrative activities of the teams, including direct leader support and calendar management, processing purchase orders and expense reports, planning and coordination of team meetings, any meetings that need to be scheduled with multiple attendees, and other project activities, and coordinating efforts among the administrative team that supports the MSBDA organization, as well as coordination with the administrative team supporting the manufacturing leaders. Key responsibilities may include, but are not limited to: Develops and maintains internal SharePoint sites, Microsoft Team Spaces, and collaboration websites with the input of stakeholders. Serves as a resource for developing innovative communication tools and distributions across the organization. Develops monthly agendas for leadership meetings with input from leaders and stakeholders. Organizes and compiles meeting materials. When necessary, facilitate in-person and virtual meetings. Record action items and follow up to ensure completion. Serve as the primary point of contact for the AVP and Executive Directors, to assist with information requests and approvals and coordinate with the right individuals to facilitate timely responses. Calendar and Distribution list management for Outlook meetings and communications Complete Expense reporting, tracking, and Purchase Order processing. Organize on and off-site meetings. Coordinate all meeting logistics, including location, space designation, food and beverage, off-site dinners, and team building. Track and reconcile all final spending. Coordinates travel and logistics for local and international leadership meetings and site visits. May coordinate special projects within the area and function. Support for team and government reporting requirements. Be a back up to the Lead Administrative Associate during vacation periods. Education Minimum Requirement: High School Diploma or equivalent Required Experience and Skills: Minimum eight (8) years Administrative Assistant experience Advanced secretarial/clerical abilities including advanced proficiency in Microsoft Office applications. Advanced computer skills using MS Outlook, Word, Excel, PowerPoint Processing Expense Reports, Purchase Orders, Payment Requests Extraordinary attention to detail Outstanding communication and people skills are necessary for daily interaction with Senior Management Ability to work independently and be a “self-starter” with the strong ability to prioritize. Preferred Experience and Skills: Advanced education or certifications such as (e.g., Certified Administrative Professional, Project Management Professional Certification, etc.) preferred. SAP experience processing Expense Reports, Purchase Orders, Payment Requests. Basic understanding of manufacturing terminology and process flow #MSJR The salary range for this role is: $77700 - $122300 This is the lowest to highest salary we in good faith believe we would pay for this role at the time of this posting. An employee’s position within the salary range will be based on several factors including, but not limited to relevant education, qualifications, certifications, experience, skills, geographic location, government requirements, and business or organizational needs.
