This position reports to the Leader, Global Event Management. The Global Event Management Operations Coordinator serves as the operational backbone of the Global Event Management team, supporting the financial, administrative, procurement, vendor and logistics needs. Key responsibilities include managing payments, purchase orders, budgets, contracts, travel arrangements, calendar coordination, merchandise purchases, inventory tracking and shipment logistics. While this role supports a team responsible for high-profile meetings and events, its primary focus is operational coordination and business support rather than event planning or event management. The ideal candidate thrives in a fast-paced environment, demonstrates exceptional attention to detail and takes pride in keeping complex processes organized and on track. RESPONSIBILITIES Financial, Budget, & Operations Management (40%) Oversee and manage complex financial operations supporting up to $26M in annual spend, including vendor payments through Ariba and e-Marketplace (wire transfers, check requests). Manage purchase order creation and lifecycle management. Perform Corporate Meeting Card (CMC) reconciliation, compliance tracking, and expense reporting through Concur, including reconciliation of multiple high-value AMEX Corporate Meeting Cards (>$1M each). Maintain accurate financial records and supporting documentation, ensuring compliance with company policies, audit requirements, audit readiness, and business continuity. Identify opportunities to enhance financial tracking, reporting accuracy, operational processes, and overall process efficiency. Support the development and refinement of operational processes, policies, and best practices to enhance consistency, effectiveness, and compliance. Vendor & Contract Management (25%) Manage MSA and contract lifecycle processes through eMarketplace, ensuring timely renewals and compliance. Coordinate vendor sourcing activities, including bid requests for large-volume projects (premiums and gifts). Partner with external vendors (NSO, DMC, production) to support presentations, onboarding, and execution. Operational Coordination & Team Support (20%) Provide operational and administrative support across Global Event Management initiatives, coordinating tasks, timelines, meetings, calendars, documentation, and follow-up activities to ensure priorities remain organized and on track. Support a team of employees and contractors by managing operational details, tracking action items and facilitating the timely execution of assigned workstreams. Maintain trackers, records, status updates, and supporting documentation to provide visibility into operational activities, budgets, shipments, contracts, and key deliverables. Partner with internal stakeholders and external vendors to coordinate requests, gather information, support reporting, and contribute to process improvements that enhance team effectiveness, business continuity, and operational excellence. Executive Support, Travel & Logistics Coordination (10%) Proactively manage and prioritize a complex, rapidly changing executive calendar, ensuring alignment with business priorities. Support Executive Committee and Chairman’s Office requests, including high-touch VIP arrangements (travel, accommodations, special experiences). Coordinate complex domestic and international travel logistics, including air, ground transportation, visa support, and passport renewals. Ensure compliance with global travel requirements while optimizing traveler experience and efficiency. Be a liaison between senior leaders, administrative teams, and external partners to ensure seamless communication and delivery. Operational Coordination & Communication (5%) Manage high-volume operational communications and respond to routine and time-sensitive requests. Coordinate logistics, materials, and shipments to support program(s) execution. Open, sort, prioritize and distribute communications and shipments, as needed. Assist with onsite execution of meetings and events, ensuring smooth operations and issue resolution. ORGANIZATIONAL/CULTURAL ASTUTENESS Demonstrate strong knowledge of Johnson & Johnson’s organizational structure, executive protocols, and global operations. Effectively navigate complex stakeholder environments to drive alignment and deliver high-quality outcomes. Required qualifications High school diploma required, bachelor’s degree preferred. A minimum of 5 years of experience in operations coordination, administrative support, financial administration, payment processing, vendor management, project coordination, or a related business operations role. Experienced with executive travel and logistics. Advanced financial and budget management skills with strong attention to detail and accuracy. Proven ability to independently manage multiple projects/priorities while meeting deadlines and tracking deliverables. Strong analytical, problem-solving and decision-making skills in fast-paced environm
