Job Function: Medical Affairs Group Job Sub Function: Professional Medical Education Job Category: Business Enablement/Support All Job Posting Locations: Amersfoort, Utrecht, Netherlands Job Description: The Courses & Events Coordinator is responsible for the end-to-end operational coordination of education courses and events within the new DePuy Synthes organization. The role ensures that education activities are planned and executed with speed, clarity, compliance and strong stakeholder alignment. This role requires a proactive and solution-oriented mindset, with ownership for timelines, approvals, contracts, logistics, evidence collection and payment closure. The coordinator is expected to identify bottlenecks early, escalate clearly when decisions are needed, and follow through until actions are completed. This role is not eligible for sales incentives/sales commissions. Business Environment and Context: This role will be part of the new DePuy Synthes organization. In this environment, speed, ownership and clear accountability are critical to how we operate. The Courses & Events Coordinator is expected to take responsibility for moving processes forward, proactively resolving or escalating bottlenecks, and ensuring timely, compliant execution of education activities in close collaboration with local and EMEA stakeholders. The role is expected to actively contribute to a culture of speed, clarity and accountability by making processes easier to navigate and by ensuring that open actions are clearly owned and followed through. Main areas of responsibility / expected results/objectives of the role: Act as the operational point of contact for internal and external stakeholders, including business, marketing, education, HCC, finance, suppliers and customers; Ensure clear communication of roles, responsibilities, deadlines and next steps to all stakeholders involved; Identify process bottlenecks and escalate timely when decisions, approvals or actions are needed; Drive standardization and simplification in event coordination processes to increase speed, clarity and efficiency; Produce relevant documents, briefing papers, reports and presentations to support education activities; Own compliant execution of the HCC process flow for Courses & Events, including follow-up on approvals, questions, agreements/contracts, evidence collection and payment closure. Additional Lead or contribute to specific projects in support of Education strategic objectives; Coordinate the timely development of educational materials, including brochures, posters, banners and translations; Handle requests for commercial education, including registrations, record keeping and follow-up; Support onboarding activities for new hires where directly linked to education processes or systems; Support ad hoc operational requests only when directly connected to education activities and agreed priorities. Main leadership commitments involved in the role: Connect: Build strong relationships with internal and external stakeholders to enable fast, clear and compliant execution; Understand stakeholder needs and translate them into practical, well-organized education activities; Maintain a strong understanding of the regulatory and HCC environment relevant to education events. Shape: Contribute to building the new DePuy Synthes organization by simplifying ways of working and reducing unnecessary complexity; Challenge existing processes where they slow down execution, and propose practical improvements. Lead: Demonstrate ownership, accountability and follow-through without relying on formal authority; Steer stakeholders with different priorities and ensure that decisions, actions and deadlines are clear; Drive accuracy, compliance and excellence in execution while maintaining speed. Deliver: Deliver education activities on time, within agreed scope and in line with compliance requirements; Create a sense of urgency on key activities and follow up until completion; Continuously improve coordination, planning and process capabilities. Business & Leadership Experiences: Required: Strong organizational and time management skills with attention to detail; Strong sense of ownership and accountability; follows through until completion; Ability to work with urgency while maintaining accuracy and compliance; Excellent analytical and problem-solving skills; Ability to identify bottlenecks, make practical decisions within agreed frameworks and escalate when needed; Exceptional written and oral communication skills; Ability to grasp new concepts quickly and simplify complex processes; Fluent in English. Strong Dutch and French language skills required; Strong level in Office, Teams, Zoom, Excel and PowerPoint. Experience with SAP/Concur is desirable; Ability to work under pressure and to tight deadlines; Excellent interpersonal skills and proactive stakeholder management; Ability to work on own initiative in a fast-moving environment; Discretion and a strong understanding of confidentiality requirements. Preferred: Knowledge of the current market healthcare landscape; Experience in organizing educational or marketing events; Experience working for a mid-size or multinational company.
