Role Overview The Facilities & Compliance Manager is responsible for overseeing workplace operations, infrastructure management, travel administration, and regulatory compliance for the organization’s office facilities. The role ensures that office operations are efficient, safe, and compliant with corporate policies and local regulations. This role leads the corporate services function, manages vendor relationships, oversees travel and expense processes, and ensures operational readiness to support business growth. The position also supervises facilities administrators and works closely with leadership, HR, IT, and finance teams to ensure seamless workplace operations. Key Responsibilities Facilities Operations Management Oversee day-to-day office facilities operations to ensure a smooth and productive workplace. Supervise facilities staff and ensure timely resolution of workplace issues. Manage office infrastructure including workspaces, meeting rooms, utilities, cafeteria. Ensure facilities readiness to support employee productivity and organizational growth. Compliance & Regulatory Management Ensure compliance with local regulations, workplace safety standards, and corporate policies. Manage statutory compliance related to office operations including fire safety, building compliance, and workplace safety requirements. Conduct periodic compliance reviews, facility audits, and safety inspections. Maintain documentation related to regulatory compliance and internal governance. Vendor & Contract Management Manage vendor selection, contract negotiations, and vendor performance monitoring. Oversee vendors across services such as security, housekeeping, cafeteria, maintenance, travel vendors, and infrastructure providers. Ensure vendors meet service level agreements (SLAs) and operational standards. Infrastructure & Workplace Planning Lead infrastructure planning for office expansion, workspace optimization, and facility upgrades. Coordinate office setup, relocation, and renovation projects. Ensure infrastructure readiness including seating arrangements, utilities, meeting rooms, and employee facilities. Travel & Expense Management Oversee corporate travel arrangements including flight bookings, hotel accommodations, and local transportation for employees and visiting leadership. Coordinate with travel vendors and ensure adherence to corporate travel policies. Monitor and manage travel-related expenses to ensure cost efficiency and policy compliance. Support expense tracking, reimbursement processes, and documentation in coordination with finance teams. Corporate Services Governance Establish operational policies and governance frameworks for workplace and corporate services. Drive process improvements to enhance efficiency and cost optimization across facilities. Collaborate with finance teams on budgeting, cost tracking, and vendor spend management. Workplace Safety & Risk Management Implement workplace safety protocols and emergency preparedness measures. Lead fire safety drills, evacuation planning, and safety awareness initiatives. Identify operational risks and implement preventive measures to maintain workplace safety. Stakeholder Coordination Act as the primary point of contact for leadership on facilities, compliance, and travel management. Work closely with HR, IT, finance, and administration teams to support workplace operations. Provide leadership updates on facilities performance, compliance status, and operational improvements. Team Management Supervise and mentor facilities administrators and corporate services staff. Assign responsibilities and ensure accountability for service delivery. Drive operational discipline and service excellence across workplace operations. Skills & Competencies Facilities management and workplace operations Regulatory compliance and safety management Vendor management and contract negotiation Travel and expense administration Leadership and team management Ideal Background 5-8 years of experience managing corporate facilities and workplace operations Exposure to travel management and corporate expense administration Knowledge of local compliance regulations and workplace safety standards Experience supporting Global Capability Centers (GCCs) or corporate office environments AI & Digital Fluency Demonstrate curiosity, sound judgment, and the ability to critically evaluate and responsibly leverage AI-enabled tools in accordance with company policies, ethical standards, and regulatory requirements to improve the efficiency, effectiveness, and quality of work. Within the range, individual pay is determined by work location and additional factors, including, but not limited to, job-related skills, experience, and relevant education or training.
